MANAGEMENT INFORMATION SYSTEM ( MIS ) GUIDELINES & POLICIES ON THE PROPER USE OF COMPANY’s MANAGEMENT INFORMATION SYSTEM PROPERTIES
1. Company Property
All Management Information System Properties (MIS) (Hardware, Software, Systems, Network, Security Camera and Others) found inside the company premises are company property and should be use for company business only. Employee’s use of these properties is considered consent to the policy and to management’s right to have access to MIS properties including review of employee’s Email (or listen to telephone conversations or voicemail) and to use MIS properties to monitor employees while inside the company premises.
2. Business Only
All MIS properties shall be used for company business- and work-related purpose only.All E-mail must send only if it has a valid business or work-related reason. E-mail should NOT be used to solicit or to advocate non-company or purely personal interest. Foul, offensive, defamatory, pornographic, or other inappropriate communication is prohibited.
3. Right to Monitor
Management reserves the right to monitor all activities of its employees using its MIS property including but not limited to E-mail network, and to access and examine information in an employee’s E-mail mailbox at any time without prior notice, to ensure that system is being used for company purposes only and to ensure that employer policies prohibiting harassment are being followed.
4. Not Private
Employees do not have a personal privacy right in any matter created, received, or sent using company’s MIS property such as but not limited to communication system such as E-mail, telephone system. E-mail can read or intercepted by others, including inadvertent disclosure, accidental transmission to third parties, or purposeful retransmission to another employee’s internal mailing list. Management reserves the right to enter an employee’s E-mail mailbox or computer files for business purpose, and for this reason, employees must disclose their personal passwords to the management.
5. Need to Know
Employees should disclose data and information or messages from the use of company’s MIS property such as from E-mail network, security camera, voicemail box only to authorized managerial level employees. Information sent thru E-mail is limited to those with a need to know. This applies to both company proprietary information and confidential material protected by the attorney-client privilege. In some cases, sensitive information should not be sent via E-mail.
6. Downloading/Accessing of non-work-related sites and accessing third parties
Employees are not allowed to download any applications from internet websites without informing MIS section. Access to sites not related to employee’s job description is strictly prohibited.
Employees are not allowed to access internet using bypass software/third party software and proxy server.
7. Management Right
Employees do not have a personal privacy right in all company’s management information system properties including but not limited to computer system files, data storage file and other related electronic gadgets, tools, and equipment. For this reason, all employees must disclose their personal passwords only to authorized employees and authorized managerial level.
8. Policy Violations
Violations of this policy will subject an employee to disciplinary action, including termination. All employees must sign a form indicating that they have reviewed and understand the policy.
